Set a team budget before you collect a dollar

A calm way to estimate costs, set a fee, and explain the plan to families.
The easiest time to create clarity is before the first payment is due. Start by writing down the season costs you already know: registrations, tournaments, uniforms, coaching, field rentals, travel, and a modest contingency.
Then divide the total by the number of families expected to participate. Keep assumptions visible. A simple budget does not promise that every cost will stay fixed; it gives the team a starting point everyone can see.
When you share the fee, explain what is included, what may change, and how families can ask a question. Clear communication now makes season-end reporting much easier later.
